Who is responsible
This website is operated by the Baden-Wurttemberg-STIPENDIUM Regional Chapter Cameroon (“BWS RC Cameroon”, “we”), a volunteer Regional Chapter within the network of the Verein der Stipendiaten und Freunde des Baden-Wurttemberg-Stipendiums e.V. What we collect, and why
We only collect data you actively send us through a form on this site:
- Contact form — name, email, subject and message, to answer your enquiry.
- Appointment request — name, email, optional phone, country, city, professional background, reason and meeting preference, to arrange and prepare for a meeting.
- Join / mentor / opportunity / collaboration / story forms — the details you enter, to review and (where relevant) publish the item or add you to a directory.
- Newsletter — your email address, to send chapter news until you unsubscribe.
The legal basis is your consent (Art. 6(1)(a) GDPR), given via the checkbox on each form, and our legitimate interest in running the chapter and responding to you (Art. 6(1)(f) GDPR). Providing the data is voluntary; without it we cannot process the corresponding request.
How submissions are processed
Form submissions are sent to a Google Apps Script service operated by the chapter, which records them in a Google Workspace spreadsheet and sends notification and confirmation emails. Google acts as a processor. Directory and content data that you ask us to publish is shown on this website only with the fields you have marked as public.
Booking calendar and third-party embeds
The appointment calendar and the events calendar are provided by external services and only load after you click to load them. When loaded, those services may set their own cookies and receive your IP address and booking details. See the cookie policy.
Hosting and server logs
The site is served as static files by our hosting provider, which may process standard server log data (IP address, timestamp, requested file, user agent) to deliver the site securely. This site sets no analytics or advertising cookies.
Fonts, scripts and images
Some page assets (web fonts, animation libraries, icons) are loaded from content delivery networks. This transmits your IP address to those providers so the file can be delivered. We are working to self-host these assets.
How long we keep data
Enquiry and appointment records are kept for up to 24 months, then deleted, unless a longer period is needed for an ongoing relationship (for example, an active member profile or mentor arrangement). You can ask us to delete your data sooner.
Your rights
Under the GDPR you have the right to access, rectify, erase, restrict or object to the processing of your personal data, and the right to data portability. To exercise any of these, email rc-kamerun@bw-stipendium.de. You also have the right to lodge a complaint with a data protection supervisory authority.
Changes
We may update this policy as the site develops. The date at the top shows the last change.
